Destruction process
DESTRUCTION OF ARCHIVED RECORDS:
- Archived records are labeled with Date of destruction, that is monitored by Central Services.
- As records become eligible for destruction, the Central Services Operations Analyst communicates through email with the department representative responsible for records management.
- Approval is requested electronically from the department, and any additional information requested at the time is provided by the Central Service dept., for example: photos of labels, samples of files, opportunities to inspect the archived records.
- Once approval is given, those files eligible for destruction are securely shredded on site by an approved vendor, and a record of destruction is made available.
