VACATION LEAVE

ACCRUAL RATES

VACATION LEAVE GUIDELINES
  • Annual leave can be used in lieu of sick leave, but sick leave cannot be used in lieu of annual leave.
  • Employees wishing to use vacation/holiday credits must have advance approval.
  • Unless there are special circumstances, an employee cannot take paid time off unless it is already accrued.
  • Accruals earned in the current month are available to use on the 1st of the following month.

NEW EMPLOYEES: 

Non-Exempt Employees earn sick and vacation accruals if they work five (5) days in the pay period in which they start.  They also earn five (5) personal days on their date of hire.

Exempt Employees earn sick and vacation accruals if they work five (5) days in the accrual period in which they start. 

SEPARATING EMPLOYEES

The maximum payment for vacation accruals upon separation from the RF is 30 days. 

PERSONAL  LEAVE

RF EMPLOYEES
FULL-TIME

Full-Time RF employees will earn holiday leave for all observed holidays that are worked.

→The maximum holiday leave earned will be 7.5 hours for a 37.5 hour workweek or 8 hours for a 40-hour workweek.

PART-TIME

Part-Time RF employees who work 50% effort or more are entitled to observe only those holidays that fall on days when they are regularly scheduled to work.

→When a holiday falls on a scheduled work day the part time RF employee earns whatever hours they normally work for that particular day, not to exceed 7.50 or 8.00 hours.

→When a holiday falls on a Saturday the part time RF employee earns the value of double their sick accrual rate. (Example: normally earns 2.00 hours sick time will earn 4.00 hours in holiday time.)

Part time RF employees who observe a holiday will receive pay for their scheduled hours.

→All part time RF employees MUST have a work schedule on file with RF Payroll (rf_payroll@stonybrook.edu).

All RF EMPLOYEES:

→Supervisory approval is required before holiday time can be taken.

→The Research Foundation encourages employees to use time off within a reasonable period.

→ At separation, all unused holiday time will be forfeited.

USING ACCRUALS

Sick leave accruals can be used for medical and dental appointments, sick related absences and periods of disability supported by Satisfactory Medical Documentation.

FAMILY SICK LEAVE

RF employees are eligible to charge up to 25 of their accrued sick leave days annually (1/1-12/31). Bereavement: Family sick leave may also be used in the event of the death of a family member. Note: Sick related absences of five (5) days or more require satisfactory medical documentation to be submitted upon return to work.

SICK LEAVE GUIDELINES
  • Employees may not use sick accruals when they are no longer sick/disabled.
  • Absences due to illness must be reported to the supervisor as soon as possible.
  • Sick related absences of five (5) or more consecutive scheduled working days require Satisfactory Medical Documentation to be submitted to a Leave Administrator in HR as soon as possible. For instructions on how to submit Satisfactory Medical Documentation go here.
  • For extended absences, Satisfactory Medical Documentation is required to be submitted periodically and Return to Work Satisfactory Medical Documentation (that clears an employee’s return to work) must be submitted to Human Resources (HR) within 48 hours/2 days prior to returning to work as noted here.
  • FMLA leave protects the employee and should be requested for five (5) or more consecutive sick days. It can also be requested for intermittent absences due to sick related absences. It may be applied for absences related to child birth, adoption, foster care, caring for your own illness or caring for a sick family member. For more information on FLMA, visit FMLA.
  • Absences attributable to approved FMLA leave (Family Medical Leave Act) must be documented as such on an employee’s time entry.
  • Unless there are special circumstances, sick leave credits are not advanced. They are accrued on a monthly basis and may not be used before they are earned. Accruals earned in the current month are available to use on the 1st day of the following month.
NEW EMPLOYEES:

Exempt Employees earn sick and vacation accruals if they work five (5) days in the accrual period in which they start. 

RETIRING EMPLOYEES:

If you are eligible for the retiree health benefit, RF in Albany will contact the Payroll Office to find out how much sick time you have after you actually retire. They will make an additional pension contribution to TIAA by multiplying the value of your accrued sick days (to a maximum of 200 days) by the current percent they contribute for your retirement.
