Alumni Email Transition

Due to substantial increases in costs from Google and growing cyber security risks, we regret to inform you that the alumni email program is being phased out. 

This change will occur on June 30, 2025, at which time @alumni.stonybrook.edu accounts will no longer be accessible. 

We understand that this will have a direct and personal impact on you, and we want to assure you that we are committed to supporting you through this transition in every way possible. 

Active Stony Brook University and Stony Brook Medicine students, faculty and staff are not impacted by this change. Graduating seniors still retain their student email accounts for approximately 200 days from graduation. 

How to Prepare for the Email Transition

We want to ensure this transition is as smooth and seamless as possible for you, which is why the Office of Alumni Relations is providing advanced notice to all impacted users. Your understanding and proactive steps are critical in minimizing any disruption.

  • If you are actively using an @alumni.stonybrook.edu account for Gmail or other Google services (such as Drive or Calendar), you must complete the steps below to ensure you do not lose email service. Don't wait – taking action now is essential. Use Google’s provided resources (shared below) to assist with the transition
  • For Incidental Personal Use: If you’ve been using your Stony Brook alumni email for incidental personal use (for example, to log into external services or websites), we strongly encourage you to update your email address now to avoid losing access to those accounts. 
  • Staying Connected with Stony Brook: If you rely on your Stony Brook alumni email to stay in touch with the university, we don’t want to lose you! Take action immediately and use this form to add your non-Stony Brook email address so you can continue receiving important communications from the university. This step is crucial to staying connected with Stony Brook for alumni updates, events, and more.
  • If you are not actively using your @alumni.stonybrook.edu email account and don’t need to retain any data, you do not need to take any action

Your prompt attention to these steps will ensure that you are fully prepared for the upcoming changes. 

Saving Data

If you want to save data from your alumni account, you will need to take the following actions:

Step 1: You will need to switch to an alternate email 

If you use your alumni email as your primary email account, open a new account or switch to another email

Step 2: Transfer your email and files

Back up your account and move important emails from your alumni account to your new email account.

  • Google Mail, Drive, Sites
    • Google Takeout is a service that will back up your Google Account files onto your computer. This allows you to take all of your desired documents, calendars, mail and more at once. Emails will be MBOX files and Google Docs, Sheets, Slides will download as Word, Excel and PowerPoint files, respectively.
    • Google Transfer is a service that will transfer your Mail and Drive files to a personal Gmail Account. You will need to ensure you have enough storage space before the transfer.

Unless backed up or transferred using one of the above methods, these files and emails will be lost once your account closes. 

Step 3: Update your contact information

We want to stay in touch! 

Use this form to add your non-Stony Brook email address and continue receiving communications from the university. Also be sure to update your email address, login ID, and contact information for all accounts and websites where you have used your alumni email address. 

Step 4: Let your contacts know your email is closing or changing

You will want to let your email contacts know a change is coming.

When will my Stony Brook alumni email end?

All alumni email accounts will become inactive at 11:59 pm on June 30, 2025. You will not be able to login or access your account after this time.

What resources are available to assist with this transition?

Alumni are responsible for backing up their own email data prior to their accounts closing on June 30, 2025.

These Google resources can assist in migrating email messages and other files:

  • Google Mail, Drive, Sites
    • Google Takeout is a service that will back up your Google Account files onto your computer. This allows you to take all of your desired documents, calendars, mail and more at once. Can I pay to keep my alumni email account?

It is not possible for individuals to pay to keep their alumni email account. 

How can I let people know my email is closing or transitioning?

You will want to let your email contacts know a change is coming. Click the links below to learn how to create a vacation or automatic reply and a custom email signature. 

What happens when accounts close on June 30, 2025? 

Once your alumni email account closes, any messages sent to that account will bounce back and the sender will be notified that their message is not deliverable.

Data and emails that have not been backed up, reassigned ownership or moved to an alternate personal account will be lost once your account closes. 

What individual plans does Google offer?

See Google’s resources to choose a plan that works for you. Please note, that this would be an entirely new personal email address and not a continuation of your Stony Brook alumni email.  

What if I received an email notice, but I'm still a student/staff/faculty member?

Stony Brook alumni email accounts are separate from a current university email account. Any student/staff/faculty member accounts will not be affected.

I’m a graduating senior - can I keep my current student account?

NetID accounts, including student emails, are disabled 200 days (approximately six months) after you are no longer registered for classes; at that point, you will lose access to accounts accessed with NetID. For more information, please visit https://it.stonybrook.edu/guides/leaving-stony-brook
