A Resignation Checklist for Employees

This checklist is designed to assist State and Research Foundation employees in the resignation process.

Letter of Resignation

  • Employees must submit a formal resignation to their direct supervisor, either in writing or via email, clearly indicating the last working day in accordance with relevant collective bargaining agreements, if applicable. To assist you, please refer to the Sample Resignation Letter.
  • If the bargaining agreement does not specify notice periods and no exceptional circumstances exist, then a minimum of two weeks' notice is standard.
  • RF Employees ONLY:  RF Employees must also sign the Employee Change Form (RF), which the department will provide.

Demographic Data

Ensure the University has an up-to-date address of record to send future communication such as tax, benefit and payroll information. Incorrect addresses can result in failure to receive important documents. Please ensure to review and update this information in SOLAR, and for RF employees, in RF Self Service.

Time Sheets

Employees must submit their final SOLAR time entry or timesheet(s) to their immediate supervisor for final review, approval and submission to HRS.

Return University Property

You are responsible for ensuring all University property and equipment is returned, including but not limited to:

  • ID cards/badges
  • Keys/access cards
  • Parking passes
  • Procurement cards
  • Computers, laptops, printers, software, and other computer equipment
  • Cell phones, beepers
  • Safety equipment
  • Lab equipment
  • Uniforms/lab coats
  • Supplies

Voicemail

Please update voicemail announcements and forward phones to appropriate contacts.

Email Delegation

If requested, authorize email access delegation to a designated delegate, such as your immediate supervisor.

Exit Interview

HRS will send a link to the Exit Interview upon receiving the resignation. For in-person interviews, contact Recruiting.

Outstanding Issues

Be sure to resolve any outstanding issues with other University departments, such as:

  • Library books and fines
  • Parking fines
  • Corporate card balances
  • Environmental Health & Safety clearance
  • Employee benefits information
