Scope

The following provides a high-level description of the Oracle modules Stony Brook will be implementing, and which business functions are performed within that module:

Enterprise Data Management - Centralized platform to flexibly manage enterprise data while maintaining data integrity and enterprise application alignment. It will maintain and govern the Chart of Accounts elements for WolfieOne ERP and EPM systems.

Enterprise Resource Planning (Accounting and Finance) - Leveraging Oracle cloud Enterprise Resource Planning to capture, manage, process, approve, and reconcile financial transactions across subledgers that “roll up” to the General Ledger. Managing the following:

  • Accounts payable
  • Fixed assets
  • Cash management
  • Financial dashboards
  • General Ledger (including journal entries, account reconciliation and perform closing)
  • Budgetary control
  • Accounts receivable

Enterprise Performance Management - Leveraging Oracle cloud technology for:

  • Strategic planning
  • Target setting
  • Financial planning
    • Departmental planning
    • BFP&A planning
  • Multi-year forecasting
    • Departmental planning
    • BFP&A planning
  • SmartView
  • Narrative reporting

Human Capital Management - Leverage Oracle cloud technology to perform functions such as:

  • Entering time
  • Absence attestations
  • Requesting time off
  • Reporting / employee and payroll analytics
  • Workforce structures
  • Employee data administration
  • Employee self service
  • Manager self service
  • Compensation administration
  • Learning administration
  • Performance management administration
  • Talent acquisition (hiring and onboarding for current Taleo users, Graduate Assistants, Teaching Assistants, Research Assistants, and student employment). NOTE: This WolfieONE module will not apply to faculty. Faculty will continue to be hired through Interfolio.
  • Help Desk (“ask HR”) system for service requests

Technical/Information Technology - Working with a team to prepare data in current systems for conversion to a new system, integrating systems (so that data will flow seamlessly between them and roll up to the General Ledger), and designing the reporting strategy/configuring reporting tools.

Bouldary Systems

Listed below are the systems used by Stony Brook today which will remain as 'boundary systems' in relation to WolfieONE. These are the most used systems that integrate and seamlessly exchange data with WolfieONE. Additionally, there are hundreds of other planned integrations for other systems, including systems managed by SUNY and by The Research Foundation (RF). This is not an exhaustive list. 

These systems will still be a part of the in-flow or out-flow process of data transmission, and will work seamlessly with WolfieONE to provide each of you with the benefits you've come to learn and expect.

Below is a list of systems that are sunsetting when Stony Brook's ERP goes live. This is the most current confirmed list, however additional systems or tools may be added.
